Privacy Policy — Jotted (iOS)

Effective Date: January 6, 2026

Applies To: The Jotted iOS application and its associated backend services used for recording, transcription, analysis, synchronization, and session history.

This Privacy Policy describes how Jotted (“we,” “us,” or “our”) collects, uses, stores, and shares information when you use the Jotted iOS app.

Information We Collect

Audio Recordings & Transcripts (Provided by You)

When you record a session in Jotted, we collect and process:

  • Audio recordings captured through the app
  • Transcripts generated from your audio
  • Derived content, including session titles, summaries, key points, insights, ideas, and emotion tags generated by the app

This information exists to provide Jotted’s core functionality.

Location Data (Optional)

If you grant location permissions, Jotted may collect and store:

  • Route and location points, such as latitude, longitude, and timestamps
  • Related metrics, including altitude, speed, heading, and accuracy

Location access is optional. You can use Jotted without enabling location, though route-based features may be limited.

Profile Information (Optional)

If you choose to provide it, we may collect:

  • Name
  • Email address
  • Profile image (from your photo library)
  • Units preference (imperial or metric)

All profile fields are optional.

Device Identifier

Jotted generates and stores a random, device-scoped identifier (UUID) on your device. This identifier is used to associate sessions with your device and to support reliability and abuse prevention.

This is not Apple’s advertising identifier (IDFA) and is not used for ad tracking.

Diagnostics & Usage Data

To maintain app stability and performance, we may collect:

  • Crash reports and error logs
  • Device type, operating system version, app version
  • Timestamps and diagnostic metadata related to failures or performance issues

This data is used solely for debugging, reliability, and improvement.

Server & Network Logs

When the app communicates with our backend, standard server logs may record:

  • IP address
  • Request timestamps
  • Request and response metadata

These logs are used for security, monitoring, and abuse prevention.

How We Use Information

We use collected information to:

  • Provide Jotted’s core features (recording, transcription, analysis, and session history)
  • Sync and store your sessions securely
  • Generate summaries and insights from your recordings
  • Display routes and calculate distance/pace (when location is enabled)
  • Diagnose bugs, improve performance, and ensure reliability
  • Respond to user support requests

How We Share Information

We only share information as necessary to operate the service.

Service Providers

We work with trusted third-party providers, including:

  • OpenAI — transcription and language analysis
  • Supabase — database and file storage
  • Sentry — crash reporting and diagnostics (if enabled in the build)
  • Cloud hosting providers — backend infrastructure

These providers process data only on our behalf and under contractual obligations consistent with this policy.

Legal & Safety

We may disclose information if required to comply with law, respond to lawful requests, or protect the rights, safety, or integrity of Jotted or its users.

Business Transfers

If Jotted is involved in a merger, acquisition, restructuring, or asset sale, information may be transferred as part of that transaction.

**We do not sell your personal information.**

Data Retention

We retain information only as long as necessary to provide the service and operate responsibly.

In general:

  • Audio recordings may be temporarily stored for processing, retries, and reliability purposes
  • Transcripts, analysis, and session metadata are retained until you delete the session or request deletion
  • Location data (if enabled) is retained with its associated session
  • Diagnostics and logs are retained for a limited period for security and debugging

Your Choices & Controls

App Permissions

  • Microphone — required for recording audio
  • Location — optional; can be granted or revoked at any time in iOS Settings
  • Photos — optional; used only to select a profile image

Disabling permissions may limit certain features but will not prevent basic app usage where possible.

Deleting Your Data

  • In-app deletion removes sessions and associated data from our backend
  • Deletion requests can be submitted to support@jotted.run

We may request limited additional information to verify and locate your data.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect your information. However, no system is completely secure, and we cannot guarantee absolute security.

Children’s Privacy

Jotted is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe this has occurred, contact support@jotted.run.

International Data Processing

Your information may be processed and stored in countries other than your own. We take steps designed to ensure your data is protected in accordance with this policy regardless of location.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected by updating the Effective Date above. Material changes may also be communicated within the app.
